About The Position

The McAllen Higher Education Center is seeking an Executive Assistant II who provides high-level administrative support to the Assistant Provost and contributes to the smooth operation of the office. The ideal candidate is highly organized, proactive, and able to manage complex calendars, correspondence, travel arrangements, and critical communications with discretion and professionalism. They are confident in making independent judgements on matters of significance, supporting management with evaluative recommendations, and coordinating key projects, committees, and events. Strong attention to detail, excellent written and verbal communication skills, and the ability to collaborate effectively across the campus community are essential. We are looking for someone who thrives in a dynamic environment, anticipates needs, and helps ensure the success of both daily operations and long-term initiatives while upholding the mission of Texas A&M University.

Requirements

  • Bachelor's degree or equivalent combination of education and experience
  • Four years of experience in office administration.
  • Knowledge of word processing, spreadsheet, and presentation applications.
  • Ability to multitask and work cooperatively with others.
  • Interpersonal and communication skills.

  • Strong organizational and analytical skills.

Responsibilities

  • Administrative Oversight Provides direct support to high level administrators.
  • Drafts and manages correspondence and communications, schedules appointments, manages calendar, and coordinates travel.
  • Prepares travel arrangements and itineraries and may approve and process travel reimbursements.
  • Provides support for planning and scheduling activities.
  • Provides expert advice to Management.
  • Makes recommendations to management regarding matters of significance such as prioritization, identification of key stakeholders, event attendance.
  • Coordinates and monitors action items and assignments made by the administrator.
  • Projects/Committees Compiles reports, researchers, and applies information, maintains records and other documents.
  • Makes evaluative judgements on appropriate use of data, and evaluates documents submitted for administrator’s signature.
  • Provides guidance on formulation, interpretation, and implementation of administrative policies, procedures, standards, and methods.
  • Plans and coordinates logistical and administrative support for events, meetings or other special functions and provides on-site support.
  • Analyzes requirements for projects or initiatives.
  • Management Support May serve as an Office Manager and train in reception duties, mail log system duties, ordering of supplies, file system duties, and miscellaneous other duties.
  • Assists executive in the monitoring of budgets and fiscal records management.
