This position serves as an Executive Assistant I within the District Improvement and Accountability department. Requirements

  • High school diploma/GED equivalent
  • Some college preferred or administrative office experience
  • Minimum of 5 years of experience as an administrative secretary
  • Minimum of 3 years of experience in a public education setting preferred
  • Excellent English verbal and written communication skills
  • Strong organizational and time-management abilities
  • Detail-oriented
  • Ability to prioritize multiple tasks effectively
  • Advanced proficiency in Microsoft Office Suite, Google Workspace Tools, eSchool, and eFinance
  • Proven ability to maintain confidentiality and handle sensitive information with discretion
  • Experience managing complex schedules and overseeing projects
  • Ability to work independently and as part of a team
  • Demonstrating initiative in resolving issues and improving processes
  • Strong interpersonal skills, with the ability to build collaborative working relationships across departments and campuses

Responsibilities

  • Prepare correspondence, forms, manuals, reports, and presentations.
  • Maintain physical and electronic department files and records.
  • Perform routine bookkeeping tasks and maintain department budget records.
  • Compile pertinent data as needed when preparing reports.
  • Answer and respond to incoming calls, take reliable messages, and route to appropriate staff.
  • Make meeting arrangements for department activities, including preparing materials, scheduling, and setting up facilities.
  • Maintain a schedule of appointments for the administrator and make travel arrangements.
  • Maintain calendar with department and assistant superintendent schedules.
  • Compile, monitor, and process personnel time and payroll records.
  • Perform other duties as assigned by the Assistant Superintendent.
