About the position

The Executive Assistant in Corporate and Investment Banking is responsible for developing, analyzing, implementing, and overseeing strategic business processes and plans to enhance operational efficiency and achieve financial goals. This role involves managing strategic partnerships with various stakeholders, analyzing the company's strengths and weaknesses, and monitoring industry trends to optimize business strategies. The position also ensures the proper functioning of office and business support services, conducts business continuity planning, and compiles and verifies information according to established procedures.

Responsibilities

  • Provides client and project administrative support including calendar management, expense tracking, and visitor greetings.
  • Receives and responds to client and internal correspondence following established procedures.
  • Supports individuals, small teams, or departments with document editing, proofing, formatting, and production.
  • Identifies and enhances specific processes to maximize efficiency of routine support tasks.
  • Gathers information and maintains/updates complex spreadsheets/databases.
  • Creates filing systems and monitors efficiency.
  • Provides advanced clerical support and prioritizes mail.
  • Develops agendas/programs for meetings and circulates presentation materials.
  • Takes and relays messages, escalating calls to appropriate personnel.
  • Organizes and maintains diaries/calendars/schedules and schedules appointments.
  • Drafts emails and other documentation for management review.
  • Prepares purchase orders and obtains necessary approvals.

Requirements

  • Bachelor's Degree or equivalent work experience in Business Administration or equivalent field.
  • 3-5 years of administrative support experience.
  • Excellent interpersonal, written, and communication skills.
  • Ability to maintain discretion and confidentiality.
  • Experience in a corporate environment.
  • Ability to interact effectively with senior management and external clients.
  • Strong organizational, time management, and planning skills.
  • Ability to multi-task and think quickly.
  • Self-starter with a strong sense of ownership.
