About the position

The Executive Administrative Assistant at Hope International University provides strong administrative support to the Enrollment Management Leadership team, which includes the Directors and Vice President for Enrollment Management. This full-time, non-exempt position requires a high level of organization and the ability to manage multiple tasks in a busy, service-oriented environment.

Responsibilities

  • Submit expense reports for the Enrollment Management Leadership team
  • Coordinate meetings and prepare meeting notes
  • Coordinate travel arrangements for the Vice President for Enrollment Management and team conferences and events
  • Act as a liaison between the Vice President for Enrollment Management and various departments of the University and outside vendors; generate written and email correspondence and communication for the Vice President
  • Assist with Admissions events for students and the Enrollment Management team
  • Responsible for purchasing and maintaining inventory of supplies for office and events
  • Assist in maintaining training materials and scheduling training sessions with new team members
  • Process applications and provide administrative support for the Early College Program and Teacher Induction Program
  • Assist the Enrollment Marketing Coordinator with social media and marketing duties
  • Maintain a high level of confidentiality
  • Perform other duties as assigned to support the departmental division

Requirements

  • Bachelor's degree preferred
  • Experience in admissions with budgets and other financial reporting
  • Solid grasp of Excel to develop and maintain financial and numerical spreadsheets
  • Moderate to high typing speed
  • Ability to compose articulate and concise business letters and other correspondence
  • Project or report-writing experience desired
  • Excellent interpersonal skills and a positive, outgoing personality
  • Professional telephone screening of calls and scheduling of appointments
  • Excellent computer skills and strong working knowledge of Microsoft Office Applications
  • Self-directed and able to take initiative
  • Flexibility to work with a wide variety of personalities and temperaments

  • Ability to represent the Vice President or management team at meetings and university functions
