About the position

Sight & Sound Productions is seeking an Assistant Project Manager to support the organization and execution of high-profile corporate events. This role involves collaborating with Project Managers to ensure seamless event planning from design to execution, including client meetings, vendor coordination, and on-site management. The position offers opportunities for professional growth within a team-focused culture.

Responsibilities

  • Assisting Project Managers with organizing audio-visual production for corporate events.
  • Meeting with clients to determine needs and budget for events.
  • Designing and building quotes for events.
  • Coordinating vendors and venues for events.
  • Overseeing loading of trucks and on-site management during events.
  • Creating floor plans and designing stage sets for events.
  • Coordinating with venues for internal and external planning.
  • Guiding pre-planning and client deadlines for event execution.
  • Working closely with technical, warehouse, marketing, sales, and project management teams.
  • Ensuring adequate staff is scheduled for production events in collaboration with the Production Manager.
  • Participating in design reviews with internal staff, clients, and consultants.
  • Overseeing load-on and load-out for events.
  • Acting as the liaison onsite for clients and technician teams to maintain customer service.
  • Attending weekly meetings to provide status reports on events.
  • Preparing and managing job costing to ensure cost-effectiveness.

Requirements

  • At least 1 - 2 years of event experience.
  • Knowledge of audio-visual production and equipment.
  • Proficient in creating budgets and understanding profit and loss statements.
  • Advanced verbal and written communication skills.
  • Previous management experience and leadership abilities.
  • Detail-oriented, organized, and able to multi-task.
  • Ability to work in a high-energy, high-pressure environment.
  • Excellent interpersonal and communication skills.
  • Proficiency in general office equipment and computer programs.

Nice-to-haves

  • Hospitality degree or experience is desirable.
