About the position

PCG is seeking an entry-level Event Coordinator for its Executive Corporate Operations based in Lenexa, Kansas. This individual will execute the planning and coordination of events, including conferences, corporate functions, and customer events. The role involves managing budgets, creating and managing event registrations, preparing event materials, conducting post-event surveys, coordinating with vendors, collaborating with internal stakeholders, and serving as an event ambassador. The Event Coordinator will also travel to events for onsite management and venue selection.

Responsibilities

  • Execute the planning and coordination of events, including conferences, corporate functions, and customer events.
  • Manage budgets and make decisions to stay within event parameters to avoid compromising the quality of the event.
  • Create and manage event registrations, RSVPs, and attendee communications to ensure timely and accurate information.
  • Prepare event materials, including seating charts, name tags, table tents, agendas, and other items as assigned.
  • Conduct post-event surveys for feedback and collaborate with key stakeholders on needed improvements.
  • Coordinate with vendors to source, produce, and deliver event material; ensuring all event needs and contractual obligations are fulfilled.
  • Collaborate with internal stakeholders and speakers for events.
  • Serve as an event ambassador, attending occasional dinners and evening activities.
  • Travel to events for onsite management (setup, breakdown, registration, any troubleshooting, etc.).
  • Travel to various locations for venue selection for said events.
  • Other duties as assigned.

Requirements

  • 0 to 1 year of experience in a corporate environment or relevant role.
  • Excellent communication skills; both written and oral.
  • Must be willing to travel around 10-12 weeks annually.
  • Must have a schedule that will allow for non-traditional working hours: including weekends, before and after traditional office hours as needed.
  • Highly motivated and operates exceptionally in a fast-paced environment.
  • Works well with a team and individually.
  • Able to maintain confidentiality of department.
