About the position

The Charter School of Educational Excellence seeks a Director of Operations to provide leadership in managing our school's business operations and development initiatives. The Director of Operations is responsible for facilities management, finance, health and safety, student enrollment and records, transportation, meal service, technology, procurement, service contracts, audits, and event logistics. The Director of Operations assists the school leadership with all projects and activities that create a successful and safe school environment for students and staff. The Director of Operations will report directly to the Superintendent.

Responsibilities

  • Guide the evolution of the school's current and long-term operational strategy by overseeing all non-instructional operations.
  • Ensure smooth day-to-day functioning, emphasizing an exceptional school culture by being highly present and visible during school hours.
  • Collaborate with school leaders to implement innovative strategic operational goals, enhancing the quality of educational services for students and families.
  • Foster excellence in all areas of school operations through effective communication and collaboration with the school leadership team.
  • Provide direct supervision to the school-based Operations staff, including the Operations Manager, Operations Associate, Receptionist, the Child Nutrition Department, Facilities Department and contracted vendors.
  • Manage vendor relationships such as those with maintenance contractors, transportation, building safety contractors, copier services, etc.
  • Ensure that the school is adhering to governmental laws and compliance and reporting requirements.
  • Perform annual assessments of all contracts, verifying the existence of three competitive bids on file.
  • Manage all school emergency preparedness tasks, including planning, training and implementing logistics for the School Safety Plan.
  • Oversee office administration, including visitor management, safety protocols, vendor relationships, equipment maintenance, mail distribution, and phone answering.
  • Review all insurance policies, handle renewals, and ensure compliance measures are effectively implemented.
  • Coordinate tech distribution, vendor communication, and conduct annual inventory assessments.
  • Lead annual preparations for the new school year, organizing project plans, assigning tasks, and coordinating the procurement of furniture, equipment, and classroom supplies.
  • Implement and oversee school transportation services and prepare bus routes and schedules.
  • Support with planning and implementation of team-wide events including professional development sessions and school-wide special events.
  • Collaborate with school Leadership Team to ensure that all government and authorizer grant proposals and reports are completed on time.
  • Ensure that the procurement of all materials, supplies and services necessary for efficient operation of the school are contracted in accordance with regulations.
  • Participate in parent-teacher conferences, committee meetings as needed and prepare monthly reports for Board Meetings.
  • Work with Board Finance Committee, Superintendent, Fiscal Contractor and School Leadership to develop and manage the school's budget.
  • Submit quarterly district billing, keeping accurate and up-to-date records of student information.
  • Ensure adherence to the school's fiscal policies and procedures, participating in the annual financial audit process.
  • Participate in monthly budget review meetings with school leaders to assess and account for variances.
  • Assist in the application process, covering recruitment, lottery, registration schedules, waitlist management and support school open houses.
  • Oversee the New York State Child Nutrition Program, ensuring quality of control of daily food deliveries and completing monthly reporting.
  • Plan and manage school events, including board meetings, ceremonies, open houses, special events, and field trips.
  • Implement systems to monitor inventory including organization of storage spaces.

Requirements

  • At least 3 years of operations management experience in a fast-paced, entrepreneurial environment.
  • Minimum 2 years work experience in a data management or similar environment.
  • MBA degree required.
  • Experience in a similar role in a traditional district or charter school is preferred.
  • Experience with project-management and developing a long-term strategic plan.
  • Excellent organizational, planning and implementation skills.
  • Excellent communications skills, both verbal and written.
  • Strong interpersonal skills with students, parents, colleagues, and community members.
  • Proficiency in Google Platform, Microsoft Excel, PowerPoint, Word and Outlook.

Nice-to-haves

  • Experience managing cross-functional teams to develop and implement systems and processes to increase effectiveness and efficiency.
  • Working knowledge of the charter school movement and culture.
