About the position

The Department Coordinator IV at the University of Louisville's Health Sciences Center plays a crucial role in supporting the administration of the Louisville Clinical and Translational Research Center (LCTRC). This position serves as the primary point of contact for new projects, manages partnerships with Clinical Research Organizations (CROs), and oversees various administrative tasks to ensure the smooth operation of the department. The coordinator is responsible for facilitating communication, scheduling meetings, and providing comprehensive support to program leadership and stakeholders.

Responsibilities

  • Schedule meetings and coordinate communications across LCTRC cores.
  • Announce requests for applications for developmental and pilot projects.
  • Help route funding requests and applications for evaluation using InfoReady.
  • Prepare travel arrangements and services agreements for visiting speakers.
  • Assist with monitoring and evaluating the individual performance metrics of each LCTRC component and assess the overall impact of the award.
  • Help organize the annual LCTRC Symposium as part of Research! Louisville.
  • Oversee and facilitate the planning discussion of all project needs with all teams and external parties, including sponsors and CROs, to ensure evaluation and acceptance of appropriate projects for University of Louisville investigators.
  • Lead the CTU feasibility meeting for each potential project and ensure that the results are effectively communicated with external stakeholders.
  • Manage the Qualification process through related communications and Non-Disclosure agreements for all new projects.
  • Manage the Central Research File in SiteVault, including Profile documentation for Personnel and Organizations.
  • Act as the One-Point of Contact and Liaison for University of Louisville Partnership Alliances with industry CROs.
  • Connect university investigators with appropriate industry partners.
  • Establish and build relationships/contacts within the department, university, and partners (CRO, sponsors) to build trust and encourage partners to consider UofL for every possible trial.
  • Communicate the overall mission/capabilities of the unit (financial, clinical, etc.) to ensure the evaluation and acceptance of appropriate projects.
  • Maintain professional records related to faculty and trainees and process routine matters within established policies and procedures.
  • Assist in the submission of new recruitment paperwork.

Requirements

  • Bachelors degree in a related field or an equivalent combination of education and experience.
  • Proficiency in Microsoft Word, Excel, PowerPoint, Outlook, Microsoft Teams/Zoom, and Adobe Acrobat.
