About the position

The Department Coordinator III position at the University of Louisville's School of Dentistry focuses on providing comprehensive administrative support to the Chair of the Diagnosis and Oral Health Department. This role is essential for ensuring the smooth operation of departmental functions, including managing schedules, financial records, and faculty affairs-related documents.

Responsibilities

  • Provide day-to-day administrative support to the Chair of Diagnosis and Oral Health.
  • Make travel arrangements and maintain the calendar for the Chair.
  • Plan and schedule meetings, track and record faculty leave requests.
  • Assist with faculty affairs-related documents such as annual work plans and performance reviews.
  • Maintain financial records and handle purchasing for the department.
  • Reconcile Procard account monthly and approve payments.
  • Prepare and track budgets for all department speed types using PeopleSoft Financials.
  • Prepare purchase orders, expense reports, and travel vouchers.
  • Order supplies and handle general correspondence and e-mails.
  • Prepare annual reports and sort and distribute departmental mail.
  • Coordinate and prepare for meetings, including arrangements for agendas, speakers, food, and facilities.
  • Secure room reservations for courses and attend meetings to take minutes as directed by the Chair.
  • Develop and maintain department address lists and collaborate with other administrative staff.
  • Assist with faculty onboarding and offboarding.

Requirements

  • High School Diploma/GED with four (4) years of related experience or an equivalent combination of education and experience.
