About the position

The Dental Insurance Coordinator at Sea Smiles Management LLC plays a crucial role in supporting the growth and success of dental practices by managing the insurance authorization process. This position involves working closely with providers and the Practice Manager to ensure excellence in patient care and service. The coordinator is responsible for assisting patients with financial and authorization issues, managing insurance pre-authorizations, and serving as a resource for both patients and staff regarding insurance processes.

Responsibilities

  • Proactively manage the insurance authorization process.
  • Support providers by managing insurance pre-authorizations (initial/ongoing).
  • Assist patients with financial and authorization issues related to their care.
  • Serve as a resource for insurance/authorization processes for patients and providers.
  • Assist with billing and patient treatment plans.
  • Establish and verify insurance procedures with staff.
  • Add new PPO contracts, verify schedules, and attach accordingly.
  • Track renegotiation timelines for each network and inquire about progress.
  • Provide data to determine the effectiveness of a network.
  • Add new doctors to all contracts and complete necessary paperwork.
  • Notify insurance companies and complete paperwork when doctors change locations.
  • Act as a liaison between insurance payors and dental offices.
  • Verify information received from the practice is correct.
  • Enter all contracted fees, patient copay tables, percentages, maximums, deductibles, frequencies, and age limits.
  • Implement electronic claims submission with all payors.
  • Assist team members with questions pertaining to insurance benefits.
  • Train team members and create tools and training documents for the practice.
  • Communicate with doctors and managers regarding system needs.
  • Manage ADA codes that should be added or deleted.
  • Determine proper ICD9 and CPT codes for oral surgery and enter them into the system.
  • Perform basic computer functions.
  • Act in a professional manner.
  • Complete other duties as assigned.

Requirements

  • Familiarity with insurance claim processing and patient communications.
  • Experience implementing and maintaining computerized systems and processes preferred.
  • Demonstrate and promote superior customer service skills.
  • Basic knowledge of dental terminology.
  • Ability to multi-task and comply with protocols and standards.
  • Support corporate vision and strategy with a patient-centric approach.
  • Excellent patient/staff rapport and communication skills.
  • Exceptional organizational skills and flexibility to manage multiple tasks.

Nice-to-haves

  • Minimum of two to four years of insurance experience preferred.
