About the position

The Day-of Event Coordinator at Garnished-Events is responsible for ensuring the flawless execution of events, overseeing all details from preparation to breakdown. This part-time role requires a highly experienced individual with strong organizational and leadership skills, dedicated to delivering exceptional service and maintaining the company's high standards.

Responsibilities

  • Prepare and organize necessary inventory items for each event.
  • Confirm all items needed for each event and assist with loading and unloading supplies.
  • Take meticulous inventory of items pre- and post-event to ensure completeness.
  • Drive the company van or personal vehicle to and from events.
  • Oversee the setup team, ensuring every detail matches the client's vision and company standards.
  • Execute detailed setup according to specifications, ensuring accuracy, efficiency, and quality.
  • Coordinate team members and vendors, troubleshooting and resolving any issues that may arise.
  • Conduct thorough final checks, capturing video or photo evidence of the setup for owner review.
  • Serve as the primary point of contact for clients and venue staff during the event.
  • Engage with clients and guests in a warm, friendly manner, maintaining punctuality and a professional demeanor.
  • Oversee the breakdown process, ensuring all inventory is accounted for and returned to storage.
  • Handle all equipment and inventory items with care and organization.
  • Return any necessary event reports, feedback, and inventory updates to the owner promptly.

Requirements

  • Minimum 5 years of event coordination experience with a proven track record of successful event execution.
  • Strong organizational skills with high attention to detail and a passion for excellence.
  • Ability to manage a team, providing clear instructions and fostering a positive work environment.
  • Efficient time management skills and ability to work quickly under time constraints.
  • Ability to drive a company van or personal vehicle and travel to various event locations as needed.
  • Willingness to work weekends and evenings to accommodate event schedules.
  • Physical ability to lift event supplies and perform tasks requiring manual effort.
  • Professional appearance, demeanor, and communication skills.
  • Must sign a Non-Disclosure Agreement (NDA) and Non-Compete Agreement and pass a background check.

Nice-to-haves

  • Strong background in Events Management with experience in hospitality settings such as hotels or restaurants.
  • Knowledge of catering services and banquet operations is a plus.
