About the position

The position involves managing and maintaining controlled documentation within a document control system, ensuring that all project documents are processed accurately and efficiently. The successful candidate will be responsible for processing project documents, which includes assigning file codes, scanning documents, and entering the necessary metadata into the document repository. This role also requires routing and distributing documents, filing hard copies, and fulfilling document retrieval requests. The individual will be tasked with updating master copies of drawings and specifications logs, implementing document control procedures, and ensuring that all documentation is compliant with customer requirements. In addition to document processing, the role requires the collection, maintenance, and distribution of documents that define product configuration and control technical processes. The candidate will maintain a comprehensive filing system and a computer database for all documents retained in the document control center. This includes ensuring that the latest revision level documentation is collected and maintained, and that obsolete documentation is removed from circulation. The individual will also be responsible for ensuring timely distribution of the latest documentation to appropriate users, thereby facilitating efficient project management and compliance with technical standards. The position requires performing clerical typing duties to generate necessary documents and executing all tasks in accordance with established document control practices. The ideal candidate will be detail-oriented, organized, and capable of managing multiple tasks in a fast-paced environment, contributing to the overall success of the team and the organization.

Responsibilities

  • Process, distribute, and maintain controlled documentation using a document control system.

  • Update master copies of drawings/specifications logs/binders and implement document control procedures.
  • Collect, maintain, and distribute documents necessary to define product configuration and control technical processes.
  • Maintain a comprehensive filing system and computer database for all documents in the document control center.
  • Ensure timely distribution of the latest revision level documentation to appropriate users.
  • Remove obsolete documentation from distribution.
  • Perform clerical typing duties to generate documents as necessary.
  • Perform job in accordance with document control practices.

Requirements

  • 3 - 10 years of experience in document control or related activities.
  • BA/BS or MA/MS degree required; additional experience may be substituted in lieu of degree.
  • Experience with document control systems and procedures.
