About the position
The Customer Solutions Specialist at Ravago Americas serves as the primary contact for customers regarding inbound and outbound shipments and inventory inquiries. This role is crucial in ensuring that shipment deadlines are met with proper documentation while fostering strong relationships with customers and internal teams.
Responsibilities
- Build sustainable relationships and trust with customers through open and interactive communication.
- Advocate for the customer by understanding their needs and proactively resolving issues.
- Spearhead the resolution of customer inbound/outbound shipments and inventory issues.
- Respond promptly to customer inquiries.
- Collaborate with the Quality Coordinator on investigations and corrective action plans for discrepancies or complaints.
- Receive, process, and follow up on all customer orders by entering data in the Warehouse Management System (WMS) and NEO system.
- Check inventory levels and allocate products for outbound shipments.
- Assist customers in establishing and adjusting shipment deadlines.
- Schedule shipment appointments with transportation companies.
- Monitor customer orders to ensure timely shipment and gating of export containers.
- Communicate product needs with PBS and Production teams for allocation.
- Escalate inventory or order issues to appropriate stakeholders.
- Work with customers on order revisions due to inventory or timing issues.
- Generate loading and unloading shipment packets for warehouse personnel.
- Coordinate with Team Leads and Warehouse Leads to ensure timely loading/unloading of orders.
- Initiate and close customer inventory title transfers.
- Reconcile shipments and open issues by the end of each business day.
- Provide accurate information to appropriate persons as required.
- Train and cover gatehouse as needed.
- Cross-train for desk coverage within the department.
- Follow work instructions and safety procedures.
- Perform any additional duties as assigned.
Requirements
- Minimum 2 years of experience in a customer service or receiving role.
- Proficiency in Microsoft Office, specifically Outlook, Word, and Excel.
- Excellent communication skills, both written and verbal.
- Strong organizational and prioritization skills.
- Ability to work independently and as part of a team.
- Proven ability to produce error-free work in a timely manner.
- Functional knowledge of a warehouse environment.
