About the position

The Outsource Service Support and Procurement Coordinator is responsible for managing customer orders and ensuring timely communication regarding the status of outsourced work. This role involves processing customer requests, managing escalations, and coordinating with suppliers to meet contractual obligations. The position requires attention to detail and effective communication skills to support customer needs and maintain quality standards.

Responsibilities

  • Communicate outsource work priority for customers on a daily/weekly basis.
  • Provide quotations of outsource prices to customers via the sales system.
  • Manage daily prioritization of customer orders and communicate status.
  • Answer daily queries of customers and manage escalations.
  • Process customer new requests and ensure timely management of work.
  • Trigger release of service orders to suppliers for outsource work.
  • Partner with logistics to verify the progress of units.
  • Monitor turnaround time of jobs to meet customer commitments.
  • Verify physical receipt or validate processing steps for outsourced work.
  • Update internal system notes for individual jobs with accuracy and clarity.
  • Follow quality procedures to log certificates onto the internal system for auditing purposes.
  • Support outsource on-site duties including quality processing for calibrated assets.
  • Conduct physical inspections of assets post-calibration.
  • Review measurement reports and ensure data accuracy.
  • Sticker units with calibration stickers as appropriate.
  • Pair units with correct certificates and data.
  • Provide daily updates in shared Excel spreadsheets for priority customers.
  • Manage general purchasing responsibilities including requisitions and purchase orders.
  • Review supplier quotes and order confirmation status to ensure on-time delivery.
  • Utilize tools to activate requests for work orders for third-party suppliers.
  • Generate service request forms and coordinate with suppliers for quotes.
