About The Position

We are seeking a dependable, detail-oriented, and customer-focused individual to join our team as a Customer Service & Office Administrative Assistant. The ideal candidate will be comfortable working in a dynamic office environment, possess a positive attitude, strong communication skills, and a commitment to supporting both customers and team members. This position offers flexible hours, with a primary need for afternoon assistance from 12 PM to 5 PM, and can be structured for 25-35 hours per week.

Requirements

  • Proficiency with Microsoft Excel and Word, QuickBooks, Google Calendar, and other office software.
  • Strong organizational and time-management skills.
  • Ability to provide high-quality customer service in a timely and professional manner.
  • Excellent verbal and written communication skills.
  • Strong problem-solving and customer service abilities.
  • Fluent in English (reading, writing, and speaking).
  • Ability to work independently while effectively managing multiple priorities.
  • Previous successful work experience in administrative support, customer service, dispatching, and/or office coordination.

Responsibilities

  • Answer incoming phone calls professionally and courteously, and assist customers with requests and concerns.
  • Schedule customer appointments and confirm them with customers prior to their scheduled time.
  • Communicate with technicians regarding daily schedules and customer needs.
  • Complete document scanning and filing.
  • Prepare and process permit applications and related paperwork.
  • Monitor and respond to emails and mailbox correspondence.
  • Prepare and process bank deposits.
  • Enter warranty information accurately into company systems.
  • Order materials and supplies as needed.
  • Enter invoices and maintain accurate records.
  • Contact customers regarding past-due accounts and assist with collections.
  • Maintain and update Standard Operating Procedures (SOPs).
  • Perform other administrative duties as assigned by management.
