About the position

The Curriculum & Scheduling Specialist at Las Positas College is responsible for performing specialized technical and clerical duties related to the development of the College catalog and course schedule, as well as managing faculty assignments. This role involves updating and tracking curriculum changes, processing course scheduling data, and ensuring compliance with district policies. The position is grant-funded and contingent upon available funding on a year-to-year basis.

Responsibilities

  • Plan and coordinate the development of the schedule of classes, establishing timelines and conferring with College administrators.
  • Oversee and support database management, data entry, and room assignments.
  • Identify, troubleshoot, and resolve problems related to the development of the schedule of classes to ensure compliance with curriculum and District policies.
  • Analyze and verify course information from division deans to set up courses as approved by the curriculum committee.
  • Input the department subject rubric into the database and create necessary codes for course prerequisites.
  • Verify class information and assign details such as date, days, time, hours, room, and instructor name for classes.
  • Create all campus Course Reference Numbers (CRN) for various course types.
  • Communicate with Student Services regarding course changes, cancellations, and additions during registration periods.
  • Assign relevant codes for course classification and accountability.
  • Produce faculty teaching assignment contracts and resolve discrepancies in teaching assignments and loads.
  • Calculate instructor assignment workload value for all classes and generate teaching assignment sheets.
  • Oversee the maintenance and updating of Instructor Workload Assignment Sheets and contracts.
  • Coordinate with College administrative services for accurate and timely payment for faculty.
  • Prepare and generate statistical records and reports regarding instructor workload.
  • Answer questions from Division staff about faculty and course assignments.
  • Provide technical expertise to the Curriculum Committee on curriculum proposals and maintain catalog files.
  • Monitor curriculum development and assure accurate input of all new, revised, and inactivated courses into databases.
  • Serve as a liaison between Information Services and the College on technical databases affecting schedule preparation.
  • Attend College Enrollment Management Committee meetings and assist with information gathering.
  • Provide work direction and information to student personnel as assigned.
  • Collect and input data for new rooms and assist with room scheduling.
  • May maintain and update the Academic Services website.
  • Perform other administrative support duties as required.
  • Utilize various computer applications and software packages for reporting and data management.
  • Operate office equipment including computers and calculators.

Requirements

  • Equivalent to the completion of the twelfth grade supplemented by two years of college-level coursework in information systems, business administration, or a related field.
  • Two years of responsible technical, administrative, and/or secretarial experience, including experience with complex document preparation.
