About the position

The Clackamas County Sheriff's Office, Records Unit is seeking highly motivated, detail oriented individuals with experience working well independently in a busy, sometimes hectic, atmosphere with ever changing priorities and demands. The Criminal Records Specialist is responsible for data entry and retrieval of information into Law Enforcement Data Systems (LEDS), National Crime Information Center (NCIC), etc. Each transaction is detailed, requiring reviewing the information to ensure the correct and complete data is entered accurately. Additionally, this position requires answering a multi-line phone system, sometimes handling 911 type calls. This position requires a high level of professionalism and flexibility as there is daily interaction with the public, outside law enforcement agencies, attorneys, and court personnel. The Records Unit is a 24/7 unit, which handles many of the Sheriff's Office phone calls from both public and law enforcement agencies. This position MUST be able to work swing shift, nights, weekends and holidays. Employees with the Records Unit are considered 'essential' and must report to work regardless of inclement weather, etc.

Responsibilities

  • Performs entry, retrieval and verification of data into State and Federal law enforcement and motor vehicle records management systems.
  • Confirms warrants, stolen vehicles and protected orders for law enforcement officers.
  • Assists staff of the Sheriff's Office with questions regarding policies of State and Federal law enforcement databases.
  • Reviews, verifies and processes incoming criminal reports for completeness, accuracy and reporting requirements.
  • Provides initial reception and assistance for general incoming calls to Sheriff's Office.
  • Receives and processes public records requests for criminal information and other requests from the public.
  • Processes and receipts payments for report requests, parking and park citations.
  • Performs entry, notifications and assistance for towed vehicles within the County.

Requirements

  • A minimum of two (2) years of relevant clerical or administrative support experience.
  • Experience answering high volume phone calls as a regular part of your duties.
  • Experience working in a fast paced, sometimes hectic, work atmosphere with ever changing priorities.
  • Experience doing data entry in a computerized system.
  • Experience generating and editing documents using Microsoft Word, Excel or similar software.
  • Must be detail oriented and have the ability to multi-task.
  • Must be able to work all shifts (night, swing, holiday and weekends).
  • Must pass a post-offer, pre-employment drug test.
  • Must pass an extensive background investigation, including national fingerprint records check.

Nice-to-haves

  • Experience working, volunteering or interning in a judicial or law enforcement administrative office.
  • Knowledge of law enforcement terminology.
  • Experience working shift work (graveyard, swing shift, weekends, holidays).
