About The Position

Assists and supports the oversight and supervision of Local 6 office staff and the business operations of the Clerk’s/Register’s/Recorder’s office or a Probation Office. Responsibilities may include supporting the office’s hiring processes, making work assignments, implementation of policies and procedures, collecting departmental metrics, ongoing training, communications, participating in clerical unit employee evaluations, and gathering information in investigations of misconduct at the direction of the Department Head.

Requirements

  • Bachelor’s degree from an accredited university or college
  • Six (6) years of related work experience, with a demonstrated ability to perform supervisory duties.
  • Equivalent combinations of education and experience will be considered for meeting minimum qualifications.
  • Knowledge of modern office equipment and technology, including computers and applicable software.
  • Knowledge of Departmental and court policies and procedures.
  • Knowledge of Code of Ethics.
  • Knowledge of principles and practices of employee supervision.
  • Knowledge of court schedules or Probation activities.
  • Knowledge of State statutes.
  • Knowledge of Legal documents and terminology.
  • Skill in organization and time management.
  • Skill in attention to detail.
  • Skill in data entry.
  • Skill in customer service.
  • Ability to establish effective working relationships with others.
  • Ability to prepare clear and accurate reports and perform research.

Responsibilities

  • Supervises and manages work activities, including office supervision and management, conducting performance evaluations, providing guidance, implementation of procedures, case management and processing, records management, collection and reporting of statistics and accounting functions.
  • Meets with court personnel and other individuals to discuss ways to improve the efficiencies of court sessions and related work within established guidelines.
  • Ensures that court staff in a division support the Departmental mission by complying with existing statutes, best practices, and Trial Court policies and procedures.
  • Monitors employee performance and conduct for compliance with the Trial Court Personnel Policies and Procedures Manual, local office policies and the Local 6 Collective Bargaining Agreement.
  • Participates in the gathering facts related to issues of conduct or performance at the direction of their Department Head.
  • Imposes low level discipline such as letters of warning and reprimand (no suspensions) as directed by their Department Head.
  • Assists the Department Head with Annual Performance Reviews for Local 6 employees and helps draft Action Plans for the professional development and continuous improvement of office personnel.
  • Participates in the hiring and promotion process for clerical staff within their office.
  • Monitors and approves Time and Attendance for (Local 6) employees and generates and reviews related reports concerning the use and any possible abuse of paid sick leave by office clerical staff. Reports suspected patterns of abuse to their Department Head.
  • Coordinates and prepares the annual update of their Office’s Internal Control Plan and Risk Assessments for Department Head review.
  • Serves as the court liaison to the Judicial Informational Services Department (JISD) for electronic equipment and software and may perform the duties of the Local User Expert (LUE) for MassCourts and other information systems specific to their office or department.
  • Assists in the implementation, and coordination local training and education opportunities for Local 6 office staff employees.
  • Serves on various committees and working groups as a representative of the Court division.
  • Performs other duties as required.
