About the position

The Coordinator - Parts position is primarily responsible for assisting walk-in and call-in customers with ordering parts, locating parts, processing backorders and returns, and completing all associated paperwork. The role requires providing excellent customer service and maintaining a clean and organized parts counter area.

Responsibilities

  • Provides customer service to establish positive, cooperative working relationships with customers by assisting with parts-related issues.
  • Orders parts on the computer and processes backorders.
  • Inspects and processes all returns, including requesting proof of purchase and assessing appropriate restocking charges.
  • Suggests associated replacement parts and new product ideas, and provides product support literature.
  • Maintains the parts counter area, ensuring it is clean and organized.
  • Assists in achieving the department's financial goals by recognizing potential sales opportunities.
  • Develops cooperative working relationships with other department employees.
  • Maintains good relationships with vendors to resolve customer complaints.
  • Identifies and passes sales leads to the appropriate person/department.
  • Compiles parts information to assist the manager in the quoting process.
  • Performs related duties as required.

Requirements

  • High school education or equivalent.
  • 1 to 2 years of work-related experience in a parts, field service, or shop repair environment.
  • Good communication skills, including excellent listening and strong verbal skills.
  • Excellent customer service skills and good prospecting skills.
  • Strong decision-making and problem-solving skills.
  • Knowledge of the product market and basic product knowledge.
  • Ability to operate industry-specific programs and Microsoft Office software.
  • Strong interpersonal skills, including influence and negotiation.
  • Ability to manage conflict and project management skills.
  • Ability to operate a forklift safely and efficiently.
  • Willingness to work overtime and be on-call as needed.

Nice-to-haves

  • Some Caterpillar and customer service experience.
