Responsibilities

  • Handle all administrative duties assigned by VP of Sales and Area Sales Managers
  • Update Sales and Closings recap for the week
  • Administer and track all aspects of sales contracts, addendums and change orders, customer deposits, closings and customer care.
  • Review for accuracy and process sales contract paperwork and assist in maintaining accuracy and completion on closing backlog and contingency reports.
  • Administer and track all aspects of initial sales contracts and subsequent items received including but not limited to: Options Addendums, Additional Deposits, Contract Addendums and Change Orders etc.
  • Scans, Saves and Distributes initial sales contracts and subsequent items received including but not limited to: Options Addendums, Additional Deposits, Contract Addendums and Change Orders etc. to Lender, Closing Agent and New Home Consultant
  • Reviews, Scans and Distributes initial SPEC/QMR paperwork and subsequent changes received including but not limited to: Options Addendums, Change Orders etc.
  • Assists in maintaining accuracy on Closing Report, Backlog Report, Hold Report, Outstanding Items Report and Contingency Reports
  • Assists with sales training
  • Process Cancellation files
  • Manage third party inspections
  • New sold starts - enter in JDE all pertinent details related to contract.
  • Communicate with NHCs, Title and MHF.
  • Other duties as needed.

Requirements

  • High school diploma or general education degree (GED); or one to three months related experience and/or training; or equivalent combination of education and experience
  • Strong verbal and written communication skills
  • Multi-task oriented
  • Strong organizational skills
  • Must be proficient in Microsoft Office and JDE (or similar)
  • Critical thinking and problem-solving abilities
  • Ability to work well under pressure and consistently meet deadlines
  • A solid understanding of confidentiality and possess the ability to maintain extreme confidentiality on dealing with sensitive corporate issues
  • Exceptionally polished and professional
