The Clinical Workforce Coordinator is responsible for creating, maintaining, and communicating schedules for our clinical team, including Physicians, Mid-level Practitioners, Nurses, Ultrasound Technologists, Radiologic Technologists and Medical Assistants, while ensuring appropriate coverage to support safe, high-quality patient care. This position works closely with clinical leadership to balance staff needs, business demands, and patient safety requirements across all Pulse Vascular locations. This position is also responsible for managing, coordinating, and maintaining the credentialing and re-credentialing process for all clinical staff, including physicians, nurse practitioners, physician assistants, nurses, and technologists. This role ensures compliance with organizational policies, accreditation standards, payer requirements, and regulatory guidelines. The Clinical Workforce Coordinator serves as the primary contact for credentialing inquiries and works closely with internal departments, external agencies, and licensing boards to ensure all providers are properly approved to work and bill for services.

Requirements

  • High school diploma or equivalent required; Associate’s degree or higher preferred.
  • Minimum of 2 years of experience in healthcare scheduling.
  • Strong working knowledge of healthcare operations, particularly in a clinical or outpatient environment.
  • Proficiency with scheduling and HRIS systems (e.g., Primepoint, Excel, or similar platforms).
  • Excellent communication, organization, and problem-solving skills.
  • Ability to manage multiple priorities and remain flexible in a fast-paced environment.
  • High attention to detail and commitment to accuracy.

Responsibilities

  • Develop, coordinate, and publish weekly and monthly staff schedules for all Pulse Vascular locations.
  • Ensure appropriate staffing levels are maintained to meet daily operational and patient care needs.
  • Adjust schedules as needed to accommodate PTO requests, last-minute absences, and changes in patient volume.
  • Communicate clearly with team members about schedule updates, expectations, and coverage changes.
  • Collaborate with the Director of Nursing and Practice Administrator to identify staffing trends, potential shortages, and overtime risks.
  • Maintain accurate records of PTO requests, shift swaps, and attendance in accordance with company policy.
  • Support new hires by coordinating onboarding and orientation schedules.
  • Partner with HR and management to ensure alignment between scheduling practices, policy compliance, and business needs.
  • Provide staffing and coverage reports as requested.
  • Handle all information with the highest degree of confidentiality and professionalism.
  • Coordinate initial credentialing and onboarding of clinical staff, ensuring timely completion of all required documents.
  • Process re-credentialing submissions according to organizational timelines and regulatory requirements.
  • Maintain accurate credentialing files (digital and/or paper) for each clinical staff member.
  • Ensure all credentialing activities meet federal, state, and accreditation standards
  • Monitor expiring licenses, certifications, and registrations; proactively communicate with staff to obtain updated credentials.
  • Prepare audit-ready files for payer credentialing audits, compliance reviews, and accreditation surveys.
  • Serve as the point of contact for credentialing questions from providers, HR, managers, and external agencies.
  • Maintain and update credentialing databases, spreadsheets, and tracking systems.
  • Ensure credentialing data is accurately entered into HRIS, practice management systems, and payer portals.
  • Create and distribute credentialing-related communications, reminders, and policy updates.
