About the position

The Client Coordinator at Ideal Image plays a crucial role in supporting the sales and operational performance of the clinic. This part-time position focuses on enhancing customer engagement and loyalty, ensuring a positive client experience from the moment clients enter the clinic. The role involves greeting clients, managing schedules, providing customer service, and assisting with clinic operations, all while promoting medical aesthetic services and products.

Responsibilities

  • Greet clients and visitors warmly upon arrival at the clinic.
  • Manage incoming phone calls and prioritize multiple client needs effectively.
  • Provide exceptional customer service to build and maintain client relationships.
  • Assist clients with scheduling needs and optimize treatment book schedules.
  • Check clients in and out, including managing payment processes.
  • Conduct clinic tours for new clients as needed.
  • Recommend, promote, educate, and sell medical aesthetic services and products.
  • Verify client information and medical history in accordance with protocols.
  • Chaperone services as needed during client visits.
  • Review and manage clinic email communications appropriately.
  • Maintain cleanliness and organization of the clinic, including treatment rooms.
  • Assist with inventory intake, recordkeeping, and ordering supplies.
  • Ensure HIPAA compliance in record keeping and management of medical charts.
  • Maintain professional relationships with clients, leadership, and sales teams.

Requirements

  • High School Diploma or equivalent.
  • 1+ years of sales and/or customer service experience in a retail, restaurant, or related in-person environment.
  • Working knowledge of business tools such as MS Office Suite, phone systems, Point of Sale systems, and CRM software.
  • Proven track record of creating excellent customer experiences.
  • Ability to multitask and prioritize client experience alongside operational duties.
  • High degree of integrity and confidentiality with sensitive customer health-related information.
  • Ability to learn quickly and grasp concepts and protocols related to products and services.
  • Professional appearance and demeanor at all times.
  • Ability to thrive in a dynamic, fast-paced environment.
