About the position

The Child Care Office Assistant at Kids Corner Child Care Center plays a vital role in supporting the director with daily administrative tasks essential for the smooth operation of the center. This part-time position requires effective communication skills and proficiency in Microsoft Office, as well as the ability to work collaboratively with diverse individuals. The role involves various clerical duties, data entry, and maintaining organized records, contributing to a positive environment for children and families.

Responsibilities

  • Answering the telephone and returning messages as needed.
  • Monitoring the main entrance and answering the doorbell.
  • Assisting visitors in the building.
  • Performing data entry tasks.
  • Assisting the director in maintaining files for all children, both hard copies and digital.
  • Monitoring inventories and submitting requests for office supplies to the Director.
  • Running errands and purchasing supplies as needed.
  • Organizing registration for all programs with the Director, including preparing necessary forms and documentation.
  • Generating attendance sheets and staff weekly sign in/out sheets.
  • Creating newsletters, documents, flyers, and signs for programs and events with clear organization and proper grammar.
  • Working under pressure to handle simultaneous tasks and approaching deadlines.
  • Maintaining confidentiality of program records and administrative information.
  • Participating in professional development training related to job responsibilities.
  • Maintaining appropriate professional relationships with the director, staff, parents, board members, and owner.
  • Keeping the office and lobby clean and organized.
  • Maintaining the center-wide birthday board and staff board.
  • Assisting classroom staff in maintaining ratios and coverage of classrooms.
  • Performing other duties as assigned.

Requirements

  • Minimum of 18 years old.
  • High school diploma or equivalent required.
  • Administrative clerical experience of at least 1 year.
  • Excellent oral and written communication skills.
  • High level of proficiency with Microsoft Office Suite, including Word, Excel, and Publisher.
  • Ability to learn and use new technology.
  • Physical capability to perform required duties, including lifting approximately 20 pounds.
  • Ability to work cooperatively with people from diverse backgrounds.

Nice-to-haves

  • Experience working in an early childhood program is helpful, but not required.
