About the position

The Call Center Operator at Gastroenterology of the Rockies plays a crucial role in managing incoming calls and providing support to both patients and the scheduling department. This position is essential for ensuring effective communication within the practice and maintaining a high level of customer service. The operator will handle calls, take messages, and assist with scheduling tasks, contributing to the overall efficiency of the office operations.

Responsibilities

  • Answers telephone calls quickly and professionally, following company procedure, connecting the caller to the correct party.
  • Stays on the line when transferring callers until the requested party is on the line or determines their unavailability, providing alternate options to the caller.
  • Takes clear, concise, and accurate messages when necessary, ensuring delivery to the appropriate party.
  • Assists the scheduling department with scheduling, rescheduling, or recalling patients as able and appropriate.
  • Processes incoming fax activity, distributing faxes based on urgency and needed response.
  • Performs various administrative tasks in support of the company and call center mission.
  • Completes other tasks and projects as requested by the management team.

Requirements

  • High school diploma or GED.
  • More than 2 years' experience as a telephone/receptionist in a medical office environment.
  • Excellent telephone, written, and verbal communication skills, maintaining a professional approach in stressful situations.
  • Excellent interpersonal skills, being a team player with a professional demeanor.
  • Beginning to Intermediate computer skills, with experience in medical software (Intergy preferred).

Nice-to-haves

  • Ability to develop new methods or modify existing processes to improve efficiency.
  • Knowledge of company operations beyond assigned responsibilities.
