About the position

The Business Office Manager is responsible for overseeing day-to-day administrative and accounting functions within the community, ensuring compliance with federal, state, and local standards. This role supports the Executive Director by managing employee records, payroll processing, and resident documentation, while also participating in various committees and maintaining professional competence through ongoing education.

Responsibilities

  • Supervise and direct reception staff and van driver.
  • Maintain employee files and ensure compliance with state regulations.
  • Process payroll and maintain records of employee sick and vacation time.
  • Handle drug screening, background checks, and abuse register checks for prospective employees.
  • Maintain resident admission and discharge documentation for LTC insurance residents.
  • Update and maintain community Policies and Procedures files.
  • Assist the Executive Director with local, county, state, and federal agency reports.
  • Prepare weekly and monthly reports such as rent-rolls and management reports.
  • Maintain updated records of all Certificate of Insurance.
  • Participate in various committees as appointed by the Executive Director.
  • Assist in explaining expense and revenue variances and maintain spend-down sheets.
  • Ensure accurate resident billing in Vitals and monitor aged receivables.

Requirements

  • Must be 18 years of age or older.
  • Completion of secondary education and at least two years of undergraduate studies, preferably in business administration.
  • Previous experience in an administrative capacity and bookkeeping/accounting practices.
  • Knowledge of office machines and equipment; must be computer literate.
  • Must read, write, speak, and understand English.
  • Satisfactory credit check required.
  • Previous experience or completion of appropriate training program.

Nice-to-haves

  • Patience, tact, enthusiasm, and a positive attitude toward the elderly.
  • Upper body strength to lift and move articles over twenty-five pounds.
  • Ability to squat, reach, and stretch without distress.
  • Ability to tolerate extended periods of walking and standing.
