About the position

As the Business Office Coordinator, reporting directly to the Executive Director, you will ensure the provision of quality care in accordance with Federal, State and local regulations while supporting your team by being the point of contact for all associates, visitors, residents and families.

Responsibilities

  • Maintain associate timecards and prepare/submit payroll.
  • Properly maintain and receive payment for services.
  • Make banking deposits, maintain and record community credit card transactions and receipts.
  • Process and submit, for approval, all account payables and receivables.
  • Apply ancillary charges and review monthly resident billing for accuracy.
  • Disseminate monthly resident statements.
  • Keep ACH records uploaded and current.
  • Maintain daily deposits of resident payments.
  • Correspond with LIFT billing representative to ensure resident accounts are kept current and accurate.
  • Answer phones and ensure calls are routed to appropriate staff.
  • Ensure the reception and bistro areas are tidy, ensuring beverages and coffee additives are stocked.
  • Coordinate, sort, and distribute mail for office and receive packages for office and residents.
  • Coordinate the pick-up and delivery of express mail services.
  • Order department supplies as needed, including office and/or resident supplies.
  • Prepare post-concierge schedule.
  • Manage and process long-term care insurance submissions monthly.
  • Upload new resident documents into electronic health record.
  • Maintain Accushield (sign-in kiosk) and ARIAL (nurse call system) programs.
  • Update and disseminate census daily.
  • Maintain schedule and communication for ENCIRCLE meetings.
  • Other duties as assigned.

Requirements

  • High school diploma or general education degree (GED).
  • 2-5 years of experience in a senior living community preferred.
  • Great communication and interpersonal skills are required along with the heart and passion to work with older adults while providing the best care possible.
  • Must have the ability to remain calm in stressful situations, to be flexible, to work well with many interruptions and have skill in multi-tasking.
  • Respect for the principles of resident rights and confidentiality.
  • Must exhibit and promote a high level of customer service, hospitality, courtesy and friendliness towards all residents, visitors, associates and the overall community.
