About The Position

Coordinate a variety of business functions for assigned program area. Provide guidance to administrative or business staff. Ensure activities are prioritized based on organizational need. Tracks projects and develops reports for program area. To serve as the lead in business management for the division, including support to staff at the district level. Ensure information from all sections flows smoothly to and from the assigned program area. To provide organizational management services, analytical and technical support.

  • Experience in administrative support duties, work flow analysis, project management, policy interpretation and application, and fiscal processes.

Responsibilities

  • Budgeting: Assist in developing assigned budget. Supply projected costs, monitor expenditures and prepare financial status reports.
  • Business Management: Recommend resolution to administrative or business problems resulting in an effective program. Lead, manage and direct new processes to streamline workflow.
  • Business and Administrative Support: Provide administrative support services to assigned program area.
  • Office Management: Independent oversight of administrative and clerical functions and programs for Division. Manage flow of confidential information, data, and correspondence within and from Director. Coordinate Director's calendar. Develop and maintain an automated tracking system of projects, assignments, correspondence and other matters to ensure relevant matters are identified and tracked for action. Assign special assignments to administrative support staff. Screen Director's electronic and hardcopy mail and telephone calls. Coordinate office files and records. Appropriately manage and respond to customer service calls and requests.
  • Operations Support: Provide support for payroll, HR, Procurement, and fiscal services. Coordinate travel, events, training, and meeting arrangements. Prepare requisitions and purchase orders for goods and services in compliance with established policies and procedures. Procure items from state contracts as needed and resolve billing discrepancies. Review procurement records to ensure financial activities comply with state and VDOT requirements. Develop guidelines and procedures in procuring ordering office supplies and guidance related to other program areas. Research and compile data and prepare reports/presentations for a variety of programs or projects upon request.
  • Records Management: Organize and maintain records for assigned program area per established retention schedules and policies. Periodically review relevant forms, documents, and materials to ensure all information is accurate and up to date.
  • Special Assignments: Assume responsibility for special projects and assignments.
