About The Position

The Administrative support is responsible for supporting the rental, service and operations team by providing administration support to ensure customer focused operations day to day.

Requirements

  • 3-5 years of administrative experience
  • Bilingualism in mandatory
  • Intermediate - Advanced computer skills (Word, Excel, Outlook, Salesforce)
  • Strong customer service skills; ability to deal with strong personalities
  • Excellent organizational skills; ability to multi task

Responsibilities

  • Be the first point of contact for customers an ensure they sign the Guest Book
  • Answering the branch main line and dispatching calls accordingly
  • Fulfilling administrative duties not limited to Ordering Office supplies, receiving/distributing mail, filing paperwork, sending packages upon request by Purolator, and making occasional repair/service calls for the office equipment
  • Scanning and copying company cheques to be sent to Mississauga by Purolator as well as emailing copies of cheques in a timely manner
  • Compiling statements thoroughly to be forwarded to Accounts Payable
  • Utilizing bean software to create work orders, scan and dispatch invoices
  • Forwarding insurance documentation to the designated personnel in the Accounts Receivable department
  • Request for/enter purchase orders along with closing work orders appropriately
  • Verify CVI’s in Series 4 including scanning and entering data to the website
  • Validating and printing monthly reports for open work-orders as well as preparing postings for shop(s) work-orders
