About the position

The Behavioral Health Office Assistant will play a crucial role in supporting the operations of a busy outpatient mental health practice. This position requires a compassionate and organized individual who can efficiently manage patient interactions, scheduling, and administrative tasks while maintaining a high level of professionalism in a fast-paced environment.

Responsibilities

  • Greet and assist patients in a warm, empathetic manner.
  • Manage patient check-ins and check-outs with efficiency and confidentiality.
  • Schedule and confirm appointments for multiple providers, optimizing provider schedules to maximize availability and patient access.
  • Verify patient insurance coverage and collect necessary documentation.
  • Assist with billing inquiries and patient co-pay collection.
  • Provide assistance with claims, authorizations, and related issues.
  • Answer multi-line phone system, direct calls, and take messages accurately.
  • Handle appointment requests, cancellations, and other inquiries in a timely manner.
  • Provide information on practice services, policies, and procedures to patients and families.
  • Maintain patient records including filing and ensuring compliance with HIPAA regulations.
  • Prepare and distribute patient paperwork, forms, and referrals as needed.
  • Post patient and insurance payments with high accuracy.
  • Collaborate with clinical staff to facilitate smooth patient flow and provider communication.
  • Assist in organizing front office operations, including supply management and administrative tasks.
  • Participate in team meetings and contribute to a positive, team-oriented work environment.

Requirements

  • Minimum 1-2 years of front office or administrative experience, preferably in a healthcare or mental health setting.
  • High school diploma or equivalent required.
  • Excellent communication, interpersonal, and customer service skills.
  • Strong organizational and multitasking abilities.
  • Proficient in using computer systems and scheduling software.
  • Ability to handle sensitive and confidential information with utmost professionalism.
  • Familiarity with medical terminology, insurance protocols, and HIPAA compliance is a plus.

Nice-to-haves

  • College coursework or certification in medical administration is a plus.
