About The Position

The Johns Hopkins School of Medicine is seeking an Asst. Director, MSTP & XDBio PhD Programs for the Medical Scientist Training Program (MSTP) and the XDBio PhD Program. This role is responsible for all programmatic, academic, and administrative aspects of these two graduate programs at the School of Medicine, which collectively include over 100 faculty members and approximately 140 students. The position reports to the Director for Academic Affairs and collaborates closely with the faculty directors of the MSTP and XDBio programs, often representing them in program operations. The core responsibilities involve academic program planning, implementation, assessment, evaluation, student advising, and supervision. The goal is to lead and manage these graduate programs, providing strategic direction, operational oversight, and stakeholder engagement to ensure academic excellence, regulatory compliance, strong recruitment, effective evaluation, and sound financial and data management.

Requirements

Master's or Ph.D. in Education or specific field related to program.
Five years of experience in all aspects of academic program administration.
Additional education may substitute for required experience, and additional related experience may substitute for required education beyond a high school diploma/graduation equivalent, to the extent permitted by the JHU equivalency formula.

Responsibilities

Lead and manage the MSTP and XDBio graduate programs, providing strategic direction, operational oversight, and stakeholder engagement to ensure academic excellence, regulatory compliance, strong recruitment, effective evaluation, and sound financial and data management.
Provide strategic leadership and represent the programs in School of Medicine and university committees and at national conferences (AAMC, NIH, MD-PhD directors’ meetings).
Build and sustain partnerships with faculty, students, alumni, university offices, and external stakeholders; promote collaboration and program visibility.
Oversee academic program administration: faculty orientation and participation, curriculum development, course administration, mentoring standards, student advising, milestones, and annual program retreats.
Manage recruitment and admissions activities, promotional materials, and participation in recruiting events and career fairs.
Direct student progress monitoring and support: advising, remediation, change-of-status, coordination of dual-degree requirements, and management of essential milestones (registrations, oral exams, Individual Development Plans, thesis committees).
Lead evaluation and continuous improvement: develop evaluation plans and surveys, analyze data with Office of Assessment and Evaluation guidance, and implement programmatic and curricular changes.
Administer NIH training grant activities: prepare competitive renewal applications and annual progress reports, ensure sponsor compliance, and manage trainee appointments and fellowships.
Oversee program finances and budgeting: prepare budgets, authorize expenditures, manage payroll and student appointments, reconcile accounts, and produce financial reports.
Maintain accurate program data and alumni records; prepare and submit reports required by institutional and federal sponsors.
Manage program communications and marketing, including website content and social media to support recruitment, student engagement, and alumni relations.
Provide supervision and operational leadership for program staff.
Report to the Director for Academic Affairs and work closely with MSTP and XDBio faculty directors; represent program leadership internally and externally as needed.
Coordinate with university and external partners (Registrar, Office of Graduate Biomedical Education, Office of Student Health and Well-being, Finance, IT, Office of the Provost, Office of Assessment and Evaluation, Office of International Services, Janelia Research Labs, etc.) to ensure smooth program operations.
Maintain program records in university systems, prepare statistical reports, and provide documentation for institutional reviews (e.g., Doctor of Philosophy Board).
Plan, schedule, and support program committees (Policy, Admission, Curriculum) and produce agendas and meeting materials.
Oversee logistics for retreats, events, and program-specific meetings, including vendor negotiation and contract management where needed.
Ensure timely student payroll and appointment approvals each semester.
