About the position

The Assistant to the Dean of the School of Graduate & Professional Studies plays a crucial role in ensuring the efficient operation of the office, providing administrative support to the Dean, faculty, and students. This position involves coordinating various administrative tasks, managing schedules, and facilitating communication within the university. The assistant will also be responsible for special events, onboarding processes, and maintaining essential records, all while embodying the values and mission of Fresno Pacific University.

Responsibilities

  • Coordinate and oversee a variety of administrative support activities for the Dean's office.
  • Prepare and initiate onboarding for faculty and adjunct faculty.
  • Create and process contracts for faculty and faculty overload.
  • Maintain and support SharePoint sites for programs and departments.
  • Prepare invitations, manage logistics, and take minutes of school meetings.
  • Provide administrative support for search committees, including scheduling and arrangements for candidates.
  • Monitor course enrollments and alert faculty about class needs.
  • Monitor budget, process payments, and track receipts for the Dean.
  • Serve as a liaison with the executive assistant in the provost's office.
  • Support accreditation processes and attend monthly Academic Support meetings.
  • Assist the Dean with faculty evaluation processes and improve office efficiency.
  • Retrieve and sort departmental mail and travel to various regional sites as needed.
  • Hire, onboard, and supervise student workers as necessary.

Requirements

  • Three to four years of experience in an office of administrative assistant environment.
  • Proficient in Microsoft 365 programs including Word, Outlook, and Excel.
  • Ability to work independently and manage multiple requests efficiently.
  • Strong organizational skills and excellent customer service.
  • Meticulous attention to detail and strong analytical skills.
  • Ability to manage confidential tasks professionally.

Nice-to-haves

  • Experience in a higher education office environment.
