About the position

The Assistant Office Manager at Oral Surgery Associates plays a crucial role in overseeing the business office operations, ensuring efficient patient flow, and maintaining high standards of service. This position involves collaboration with the Office Manager to lead and supervise both business and front office staff, manage daily financial transactions, and resolve various operational issues. The role requires strong leadership, organizational skills, and the ability to motivate staff to achieve performance excellence.

Responsibilities

  • Oversee the business office operations and collaborate with the Office Manager.
  • Supervise and lead the business office and front office staff.
  • Review accounts receivable, collections, payment posting, and claims submission daily.
  • Ensure practice operations and patient flow align with the mission and values of the practice.
  • Resolve daily insurance, financial, and scheduling issues.
  • Monitor staff workload and hold staff accountable for performance.
  • Maintain a 'to do' list for staff and communicate daily needs.
  • Address policy issues in a timely manner and adjust as needed.
  • Coordinate staff training and performance assessments with the Office Manager.
  • Analyze basic financial reports and run monthly accounts payable/accounts receivable reports.
  • Assist team members through coaching and job shadowing in various areas.

Requirements

  • Minimum two (2) years management experience in a medical or dental office preferred.
  • Knowledge of Revenue Cycle Management including claims submission, payment posting, and AR follow-up.
  • Strong organization, interpersonal, and communication skills.
  • Ability to work in a fast-paced, quickly changing environment.
  • Excellent customer service and leadership skills.

Nice-to-haves

  • Knowledge of CDT codes preferred but not required.
