About the position

The Assistant position within the Department of Defense involves performing a variety of administrative tasks to support the management of the Department. The role includes overseeing administrative functions, ensuring compliance with policies and procedures, and coordinating staffing processes. The Assistant will also prepare professional presentation packages, manage records, and serve as a point of contact for official records management.

Responsibilities

  • Perform a variety of administrative assignments related to the management of the Department.
  • Oversee administrative functions for the office.
  • Ensure compliance with policies, procedures, and guidelines in administrative support.
  • Coordinate processes and policies of Division Administrative Assistants to ensure proper staffing.
  • Assist the Department Head and Deputy in responding to data calls.
  • Maintain oversight and track action items and reports.
  • Prepare professional presentation packages consisting of complex charts, graphs, and narrative documents.
  • Serve as the Official Records Management POC for the Department.
  • Answer routine questions about the EOD Department mission based on knowledge of subordinate organization activities.
  • Support the Department Head and other management personnel in confidential matters.
  • Coordinate staffing of documents and letters through the Department office and Chain of Command.

Requirements

  • Must be a US Citizen.
  • Must be determined suitable for federal employment.
  • Must participate in the direct deposit pay program.
  • Must obtain and maintain an interim and/or final security clearance prior to entrance on duty.
  • At least one year of specialized experience at or equivalent to the NG-02 (GS-5/6) grade level or pay band in the Federal service or equivalent experience in the private or public sector.

Nice-to-haves

  • Experience in using office automation and software systems for preparing documents and correspondence.
  • Ability to identify and resolve administrative matters.
