About the position

The Assistant Director of Front Office plays a crucial role in supporting the Director of Front Office by overseeing the operational activities of the resort's front office. This position ensures that the front office operates within corporate and hotel guidelines while delivering high standards of service and maintaining acceptable profit levels.

Responsibilities

  • Review VIP reservations, amenity orders, and resumes for incoming and in-house guests.
  • Update the computer system by inputting inventory and non-inventory groups.
  • Communicate with other departments to ensure proper handling of guests and groups.
  • Maintain contact with Reservations Service regarding requests for suites and special accommodations.
  • Maintain control over rate changes on in-house guests.
  • Compute daily payroll, schedules, and other reports.
  • Analyze data to prepare daily forecasts of expected arrivals and departures.
  • Perform front desk supervisor duties, including handling cash and balancing an assigned house bank.
  • Accept and record vouchers, travelers checks, and other forms of payment.
  • Count cash and other methods of payment at the end of the shift to verify and balance the house bank.
  • Remain calm and alert during emergencies and heavy hotel activity, resolving complications such as location changes or credit issues.
  • Field guest complaints, conducting thorough research to develop effective solutions and negotiate results.
  • Plan and implement detailed steps using experienced judgment and discretion.
  • Communicate effectively both verbally and in writing to provide clear direction to staff.
  • Observe performance and encourage improvement, administering disciplinary procedures as necessary.
  • Monitor lobby traffic and make staffing adjustments accordingly.

Requirements

  • Experience in front office operations in a hospitality environment.
  • Strong communication skills, both verbal and written.
  • Ability to analyze data and make informed decisions.
  • Experience in handling cash and balancing financial transactions.
  • Ability to remain calm under pressure and resolve guest complaints effectively.

Nice-to-haves

  • Previous supervisory experience in a hotel front office setting.
