Requirements

  • BS degree in related field
  • 5+ years' experience in property management
  • Strong interpersonal skills
  • Proficient in computer programs, including Microsoft Office and Yardi
  • Ability to work with minimal supervision
  • Well organized with excellent time management skills
  • An in-depth knowledge of all rules, regulations and laws regarding property management
  • Valid NJ real estate salesperson license
  • Valid New Jersey Driver's License
  • Maintain regular and punctual attendance
  • Work hours as required to complete assignments/projects

Responsibilities

  • Manage property operations, ensuring that all aspects of the properties are running smoothly.
  • Conduct regular site inspections.
  • Collaborate with maintenance teams.
  • Oversee the leasing and application process.
  • Address resident concerns to foster a welcoming environment.
  • Maintain organized records.
  • Drive sales initiatives.

  • Handle property management tasks efficiently and effectively.
  • Personnel Management: Hire, fire, advance, promote, or change the status of employees reporting to them, or make recommendations for these actions. Consistently use successful techniques and company directives to screen, hire, orient, and train new personnel. Ensure staff efficiency through ongoing training, instruction, counseling, and leadership. Plan weekly/daily office staff schedules and assignments. Coordinate maintenance schedule and assignments with the Maintenance Supervisor. Administer action plans consistently and in a timely manner regarding employee performance problems, documenting appropriately and communicating with supervisors, Human Resources, and terminating properly when necessary. Provide support to staff to encourage teamwork and lead by example in creating a harmonious environment. Ensure all administrative processes involving personnel are handled on a timely basis (e.g., performance evaluations, salary reviews, time sheets, change of status forms).
  • Financial: Interpret financial goals and operate the asset in the owner's best interest in accordance with the Policies & Procedures Manual. Maintain accurate records of all community transactions and submit them on a timely basis (e.g., rent rolls, delinquency reports, move-in/move-outs). Prepare annual budgets and income projections in a timely and accurate manner. Assist in the preparation of monthly financial reports, as required. Plan long and short-term capital expenditures. Ensure that all rents and late fees/check charges are collected, posted, and deposited in a timely manner. Generate necessary legal action, documents, and processes in accordance with State and Company guidelines. Provide constant vendor/contractor communications concerning scheduling, billing, vendor relations, and certificates of insurance. Ensure that A/P invoices are submitted to the corporate office for payment, handle petty cash and all funds.
  • Leasing: Implement policies and practices to ensure the property is rented to its fullest capacity. Develop marketing strategies to secure prospective residents. Confirm that leasing staff techniques are effective in obtaining a closing. Confirm that leasing staff gather information about market competition in the area. Continually monitor and analyze traffic logs, conversion ratios, budget guidelines, renewal information, marketing data, etc., to provide up-to-date and proper information when requested. Manage social networking websites.
  • Resident Retention: Respond to and resolve resident concerns, complaints, and requests in a timely manner to ensure resident satisfaction. Develop and implement resident retention programs (e.g., resident functions, special promotions, monthly newsletters). Ensure the distribution of all company or community-issued notices (e.g., bad weather, emergency). Consistently implement policies of the property.
  • Maintenance: Oversee the community appearance and supervise maintenance personnel to ensure that work orders and apartment turnovers are completed on a timely basis.
  • Administrative: Prepare and implement procedures and systems within company guidelines to ensure an orderly, efficient workflow. Waive or deviate from established policies and procedures for the betterment of the property. Confirm all leases and corresponding paperwork are completed and input into the software system accurately and on a timely basis. Ensure current resident files are properly maintained by performing monthly file audits. Ensure all administrative paperwork is accurate, complete, and submitted on a timely basis. Lead the emergency team for the community. Ensure proper response and handling of all community emergencies with staff, residents, buildings, etc., within company guidelines to minimize liabilities (e.g., criminal activity on community, employee/resident injuries, fires, floods, freezes).
  • Safety: Learn and ensure compliance with all company, local, state, and federal safety rules. Ensure that unsafe conditions are corrected in a timely manner. Direct staff to follow a "safety first" principle.
