Responsibilities

  • Prepares original files to be scanned
  • Tracks and updates status, location, and disposition of records
  • Archives court records
  • Digitizes files and microfilm rolls to be archived
  • Scans files to be archived
  • Indexes and cross-references files
  • Collects production and quality statistics
  • Supports the Elections Director and Supervisor during county elections
  • Retrieves, copies, prints, emails or transmits stored files, documents
  • Performs routine equipment maintenance
  • Inputs and communicates production data
  • Develops production schedules and monitors inventory levels
  • Trains staff members in file management, quality assurance, software, and process procedures
  • Advises Records Manager of routine production schedule adjustments, supply requests, equipment issues and software management
  • Contributes to process procedure development and updates
  • Supports County elections
  • May act as back-up to County Courier
  • Performs related duties as required

Requirements

  • High school diploma or equivalent
  • Experience with digital imaging processes, software, and equipment
  • Understanding of electronic file structures
  • General knowledge of records retention and quality assurance practices
  • Ability to follow court mandated standards, guidelines, and procedures for record copying, storage, and retrieval
  • Ability to use a personal computer with MS Outlook and MS Office
  • Ability to operate digital copying and retrieval equipment
  • Ability to use general office equipment such as a copier, printer, shredder and scanner
  • Ability to work independently and move from one task to another without being directed
  • Ability to work cooperatively and constructively with co-workers
  • Skill in time and task management
  • Must possess and maintain a valid driver's license
  • Ability to maintain confidentiality of records
