About the position

The Agent Services Coordinator - Receptionist at Keller Williams Memorial is responsible for providing exceptional client service and support to real estate agents and clients. This entry-level position involves greeting clients, managing phone calls, coordinating office supplies, and assisting with onboarding new associates. The role requires excellent interpersonal skills and a proactive approach to maintaining a welcoming office environment.

Responsibilities

  • Greets clients and prospective clients in a friendly and sincere manner.
  • Handles incoming phone calls and coordinates telephone system issues.
  • Orders and manages office supplies.
  • Makes monthly and quarterly 'stay in touch' calls.
  • Handles miscellaneous operational activities with the Director of Operations.
  • Develops and maintains written systems of all activities.
  • Assists in the onboarding of new associates prior to paperwork and conducts one-on-one onboarding meetings.
  • Answers phones using the LORE Script.
  • Creates sign-on packets, ensuring 10 are available at all times.
  • Works with Luxury and Marketing to coordinate recruiting packets, ensuring 10 are available at all times.
  • Collaborates with VA to add new agents to the onboarding follow-up system.
  • Distributes mail to appropriate agents' mailboxes, including checks for agents.
  • Logs all checks properly into the system.
  • Keeps agents' mailboxes up-to-date.
  • Checks conference rooms after each appointment.
  • Maintains cleanliness in the kitchen throughout the day.
  • Keeps conference room schedules organized.
  • Ensures the front desk and counter are clutter-free at all times.
  • Walks through the office to remove all old flyers from magnet boards.
  • Completes all tasks requested by executive leadership in a timely manner.
