About the position

The Admissions Administrative Assistant at the University of Michigan's School of Music, Theatre, & Dance (SMTD) plays a crucial role in supporting the recruitment and enrollment of students. This position involves providing executive administrative support to the Assistant Dean of Admissions, Financial Aid & Enrollment Management, and assisting with various administrative tasks related to admissions processes. Responsibilities

  • Manage the Assistant Dean's calendar and coordinate complex scheduling of meetings and conference calls.
  • Assist in managing the Assistant Dean's email, including drafting and finalizing communications such as proposals and meeting notes.
  • Prepare for meetings by anticipating needs and providing necessary materials, as well as tracking action items for completion.
  • Make travel arrangements and prepare agendas for meetings.
  • Prepare expense reports for the Assistant Dean and manage receipts.
  • Extract and compile data to create necessary reports.
  • Engage with walk-in visitors and represent the office professionally.
  • Manage office supplies and report any issues with office space.
  • Process financial transactions and reconcile admissions accounts, providing finance reports as needed.
  • Assist with application processes and manage annual admissions reports.

Requirements

  • Bachelor's degree from an accredited college or university.
  • Excellent organizational, problem-solving, and interpersonal skills.
  • Ability to communicate effectively with all levels of personnel and prospective students.
  • Strong written and oral communication skills, with tact and diplomacy.
  • Ability to maintain confidentiality and handle sensitive information.
  • Attention to detail and ability to maintain accurate reports and records.
  • Ability to meet deadlines and work under pressure with frequent interruptions.
  • Ability to prioritize work and manage multiple tasks simultaneously.

Nice-to-haves

  • Experience in, and/or understanding of music, theatre, and/or dance.
  • An understanding and appreciation of higher education and diverse cultures within the university.
