Responsibilities

  • Provides professional support in processing Memorandum of Agreement (MOA) payments, ensuring accurate and timely distribution of federal and state funds to Kentucky (KY) school districts, universities and other educational entities.
  • Complete weekly cash and check deposit in both eMARS and The Payment Engine (TPE). Administer Support Education Excellence in KY (SEEK) and Flex Focus payments.
  • Coordinate inter-accounts for KY Public Petition Authority (KPPA), KY Teacher Retirement Systems (KTRS), and Unemployment Insurance.
  • Complete sale and use tax. Monitor and track all duplicate payments, stop payments, check, copies and reissues affidavits.
  • Daily process various documents in eMARS.
  • Process registration (both in-state and out of state), direct bill lodging, sub-reimbursements, catering and meeting space payments.
  • Research check/EFT and general questions from districts, vendors and employees.
  • Serve as eMARS Report Writer. Review and approve or reject Department Purchase Request (DPR) on behalf of Branch Manager.
  • Oversee and maintain correct vendor information within eMARS creating Vendor Customer Creation (VCC) and Vendor Customer Modification (VCM) as necessary.
  • Serve a Procard holder for division.
  • Oversee the monthly school district health insurance premiums, Flexible Spending Account (FSA), Health Reimbursement Account (HRA) and administration payments in eMARS.
  • Perform other duties as assigned.

Requirements

  • Graduate of a college or university with a bachelor's degree.
  • Three years of professional, administrative, or business experience.
  • Additional education will substitute for the required experience on a year-for-year basis.
  • Additional administrative, business, research, and/or clerical experience will substitute for the required education on a year-for-year basis.
