About the position

The Administrative Secretary at Motlow State Community College provides essential administrative support to the Dean or Director of the Humanities & Social Sciences department. This role involves performing general office duties, managing clerical tasks, and overseeing temporary or part-time clerical employees. The position is crucial for maintaining efficient operations within the academic environment and ensuring effective communication among faculty, staff, and students.

Responsibilities

  • Provides general administrative support for Academic Deans or Directors, full-time faculty, adjunct faculty, and other campus constituencies.
  • Oversees multiple budgets including allocations, travel, disbursements, purchasing, verification, account reconciliation, and financial reports.
  • Provides administrative support for calendar assistance, scheduling, and coordinating travel for meetings, seminars, and events.
  • Facilitates and coordinates campus events and productions such as theatre productions, musical performances, and training sessions.
  • Communicates verbally and in writing with faculty, staff, administration, students, and other stakeholders while maintaining confidentiality and FERPA standards.
  • Creates and maintains minutes of meetings, correspondence, reports, and other records for Deans or Directors and faculty.
  • Processes and maintains required documentation in accordance with established procedures and deadlines.

Requirements

  • High school diploma or equivalent with a minimum of three years clerical or secretarial experience in an educational or business setting.
  • Strong computer skills including database management, word processing, spreadsheets, and email.
  • Knowledge of standard accounting procedures including budgets, estimates, price quotes, purchasing, and account reconciliation.

Nice-to-haves

  • Associate degree or higher from an accredited institution with three years of clerical or secretarial experience in an educational, accounting, or business setting.
  • Knowledge of Motlow and TBR policies and procedures.
