About the position

The Administrative Policy/Procedure Assistant plays a crucial role in supporting the documentation and policy management processes within the organization. This hybrid position requires the assistant to work in the office two days a week, focusing on editing, reviewing, and maintaining various policy documents and procedures. The role emphasizes attention to detail, organizational skills, and effective communication, ensuring that all documents are accurate and up to date.

Responsibilities

  • Make Redline Edits to policies and procedures
  • Set ‘Track Changes' to documents
  • Update Header/Footer, Logos, Tables, and Content within a document
  • Review for grammatical edits and formatting
  • Perform document quality checks
  • Create Master Word Versions
  • Review and update policy forms to ensure completeness and accuracy
  • Store forms in designated folders
  • Maintain Excel logs of activities performed
  • Store/Save documents in Word; Convert to PDF formats
  • Utilize Adobe Acrobat Pro to create PDFs and prepare forms
  • Add date cells / Signature Blocks / etc.
  • Change file names / Follow naming conventions for folders and files
  • Relocate documents into appropriate storage folder
  • Store policies on intranet - in SharePoint
  • Collaborate with cross functional teams on revising and finalizing documents via Microsoft Teams and Outlook
  • Attach links or documents to emails as needed
  • Perform other duties as assigned.

Requirements

  • Familiar with Microsoft Windows, Microsoft Word, Excel, Outlook, and Adobe Acrobat Pro
  • Extremely organized with high attention to detail
  • Good communication skills
  • Ability to work both independently and as part of a team
