About The Position

The Administrative Coordinator provides administrative and operational support to the Institute of Equine Sciences, with an emphasis on marketing, communications, and stakeholder engagement. This position plays a key role in coordinating office operations, supporting program delivery, and developing creative content to enhance visibility and impact. The role includes responsibility for communications supporting volunteer leaders and donors, along with assisting in marketing initiatives, outreach efforts, and program-related communications aligned with Texas A&M AgriLife standards.

Requirements

  • Bachelor’s degree, or equivalent combination of education and experience.
  • Two years of related administrative, program support or related experience.
  • Strong attention to detail and organizational skills.
  • Ability to communicate effectively with various audiences.
  • Ability to work independently and collaboratively.
  • Knowledge of word processing, spreadsheet, and database applications.
  • Ability to multi-task and work cooperatively with others.

Nice To Haves

  • More than two years of related administrative, program support or related experience.
  • Proficiency in Microsoft Office Suite including Word, Excel, PowerPoint, and Outlook.
  • Basic graphic design and digital communication skills.

Responsibilities

  • Provide high-level administrative support to institute leadership, faculty, and program staff.
  • Coordinate calendars, travel, purchasing, and financial processes in compliance with AgriLife procedures.
  • Maintain records, databases, and filing systems.
  • Assist in preparation of reports, presentations, and operational documents.
  • Assist in development and distribution of newsletters, announcements, and email campaigns.
  • Design promotional materials including flyers, brochures, and digital graphics.
  • Maintain and update website content and social media platforms.
  • Ensure communications align with AgriLife branding and messaging standards.
  • Contribute to creative content development, including storytelling, program highlights, and impact summaries.
  • Track and report communication engagement metrics.
  • Coordinate communications with volunteer leaders, including updates, scheduling, and program information.
  • Support recruitment, engagement, and retention efforts for volunteer networks.
  • Assist with donor communications, including acknowledgments, updates, and impact reporting.
  • Maintain stakeholder contact databases and communication records.
  • Assist with coordination of meetings, workshops, and outreach programs.
  • Manage event logistics including registration, materials preparation, and participant communication.
  • Provide support during program delivery at the Hildebrand Equine Complex and other venues.
  • Coordinate daily office operations and administrative workflows.
  • Support onboarding coordination for staff, students, and volunteers.
  • Serve as a primary point of contact for internal and external inquiries.
  • Facilitate communication across departments and stakeholder groups.
  • Performs other duties as assigned.
