About The Position

The Employment Services Administrative Clerk provides a variety of general clerical and administrative support duties for the Employment Services Section of Personnel Services. Tasks performed are general in nature but require a high degree of confidentiality. Employees at this level receive instruction or assistance as new or unusual situations arise and may be required to interpret Office operating procedures and policies. Please note, the position requires working in office with no telework days available.

Requirements

  • High school diploma or GED.
  • One (1) year clerical experience or Human Resources experience.
  • Must possess a valid Arizona driver’s license or have the ability to obtain by the time of hire.
  • Prior to hiring, the Sheriff's Office requires that all candidates pass a background review.

Nice To Haves

  • Administrative/clerical experience in a human resources environment.
  • Experience handling/processing a high volume of confidential paperwork, performing File room audits, and operating a multi-line phone system.
  • Intermediate to advanced experience using Microsoft Office Suite.

Responsibilities

  • Provides customer service via telephone, email and in person for employees, applicants, the public, law enforcement entities and government agencies.
  • Responds to inquiries regarding Personnel-related policies and procedures.
  • Performs routine clerical work including filing, verifying and recording information.
  • Assists with front desk receptionist duties/coverage.
  • Prepares types and proofreads basic forms, letters or memorandums.
  • Enters data or information into MCSO databases.
  • Completes E-Verify (I-9) for new employees.
  • Assists with processing applicants for new hire and/or promotion and schedule appointments for orientation.
  • Assists with new employee orientation for new MCSO employees.
  • Assists with processing post-employment matters such as new hire paperwork and address, name, dependent(s) and marital status changes, in addition to transfers, etc.
  • Maintains records for inventory of supplies.
  • Issues/obtains identification cards, badges, parking cards, bus/light rail passes.
  • Handles additional duties or special projects as assigned by supervisor or Team Leader.
  • Runs work related errands to various county departments, MCSO facilities and to vendor locations that will require driving a county vehicle.
  • Processes incoming and outgoing mail on a daily basis.
  • Performs other related duties as assigned.
  • Be present at work site to perform assigned tasks at the times and dates scheduled and/or assigned by the supervisor.
