About the position

We are seeking a dedicated and detail-oriented Administrative Assistant to join our team. This part-time role focuses on providing comprehensive administrative support to ensure smooth office operations and enhance overall productivity. The ideal candidate will possess strong organizational skills, excellent customer service abilities, and proficiency in various software applications, particularly Google Suite.

Responsibilities

  • Manage daily administrative tasks including scheduling appointments, managing calendars, and coordinating meetings.
  • Provide exceptional customer service by greeting visitors and responding to inquiries in a professional manner.
  • Maintain organized filing systems both electronically and physically to ensure easy access to information.
  • Assist in the preparation of reports, presentations, and other documents as needed.
  • Handle incoming calls with proper phone etiquette and direct them to the appropriate personnel.
  • Support medical or dental reception duties by managing patient records and appointment scheduling when necessary.
  • Collaborate with team members to improve office processes and enhance workflow efficiency.
  • Perform data entry tasks accurately and efficiently using computerized systems.

Requirements

  • Proven experience as an Administrative Assistant or in a similar role is preferred; experience as a medical or dental receptionist is a plus.
  • Proficiency in Google Suite applications (Docs, Sheets, Drive) is essential.
  • Strong organizational skills with the ability to multitask effectively in a fast-paced environment.
  • Excellent customer service skills with a friendly demeanor and professional phone etiquette.
  • Bilingual abilities are highly desirable to cater to our diverse clientele.
  • Familiarity with administrative procedures and office management systems is beneficial.
  • A proactive attitude towards problem-solving and the ability to work independently or as part of a team.
