About the position

The Administrative Assistant will perform a variety of administrative and clerical tasks to support managers and employees, ensuring the efficient and smooth day-to-day operation of the office. The role requires excellent communication skills, proficiency in MS Excel and Quickbooks, and the ability to adapt to frequently changing priorities.

Responsibilities

  • Assist the Business Manager in all facets of administration, accounting, and operations.
  • Perform bookkeeping/accounting functions.
  • Answer and direct phone calls, take messages, and answer basic questions.
  • Greet visitors and provide them with safety glasses to meet safety and quality standards.
  • Maintain office supplies and equipment inventory.
  • Organize files and prepare documents.
  • Assemble production sheets, make inventory adjustments, and receive inventory into Quickbooks.
  • Collect and manage incoming mail, email, and other correspondence, responding in a timely manner.
  • Create packing slips and invoices, and follow up with customers on overdue invoices.
  • Prepare payroll and track attendance.
  • Provide explanations/documentation for employee absences and track PTO.
  • Update employee calendars and delivery schedules, assisting in report preparation for operations and quality assurance.
  • Perform basic data entry tasks as needed.

Requirements

  • Previous experience in clerical functions.
  • Proficient in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint).
  • Experience with Quickbooks is a plus.
