The Administrative Assistant works with the Office Manager and Branch Manager to run the front office, answer calls from homeowners and builders, and to help schedule work for the field electricians. This position will also focus on warranty scheduling and coordinating with our builders and homeowners to address any concerns they have regarding their homes after closing. We are seeking a detail-oriented and organized Administrative Assistant to ensure the smooth day-to-day operations of our office. The ideal candidate will play a pivotal role in supporting our team by managing administrative tasks, maintaining office efficiency, and providing exceptional service to internal and external customers. You report directly to the Office Manager and Branch Manager. This person will also learn additional tasks and be a backup as needed when someone is out of the office. Good communication skills and the ability to maintain professionalism are a must.

Requirements

  • Proven experience in an administrative or office management role.
  • Strong organizational and time-management skills with keen attention to detail.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other office tools.
  • Excellent written and verbal communication skills.
  • Ability to work independently and collaboratively in a fast-paced environment.

Responsibilities

  • Manage daily office operations, including scheduling, correspondence, and communications.
  • Maintain and update company records, databases, ensuring accuracy.
  • Assist in the preparation of reports, presentations, and meeting materials.
  • Act as a point of contact for internal and external customers, providing support and directing inquiries as needed.
  • Ensure compliance with company policies and procedures in all administrative activities.
  • Assist with special projects and initiatives as assigned by leadership.
