About the position

We are seeking a detail-oriented and highly organized Administrative Assistant to join our team. The ideal candidate will provide comprehensive support to ensure the smooth operation of our office. This role requires excellent communication skills, proficiency in Google Suite, and the ability to manage multiple tasks efficiently. A proactive attitude and strong time management skills are essential for success in this position.

Responsibilities

  • Help Tenant with Maintenance and Collections concerns via phone calls.
  • Enter Work orders as needed for Maintenance concerns.
  • Data Entry into Excel Spreadsheet.
  • Help maintain and update company website and Facebook account.
  • Contact third party vendors to help with work orders.
  • Answer phone calls with professionalism, demonstrating excellent phone etiquette while addressing inquiries and directing calls as necessary.
  • Prepare and organize documents, reports, and presentations, ensuring accuracy through proofreading and attention to detail.
  • Assist with clerical duties such as filing, data entry, and maintaining office supplies inventory, responding to Tenants/Employee emails.
  • Assist Director of Operations and Collections manager with daily tasks.
  • Communicate effectively with team members and clients, fostering a collaborative work environment.
  • Utilize Google Suite for document creation, sharing, and collaboration among team members.
  • Maintain confidentiality of sensitive information while handling administrative tasks.
  • Other Duties as assigned.

Requirements

  • Proficiency in Google Suite (Docs, Sheets, Calendar) is required.
  • Strong organizational skills with the ability to prioritize tasks effectively.
  • Excellent time management abilities to meet deadlines in a fast-paced environment.
  • Bilingual candidates are preferred but not required; proficiency in additional languages is a plus.
  • Previous experience in an administrative role or as a clerk is advantageous.
  • Strong computer literacy with familiarity in various software applications.
  • A proactive approach to problem-solving with strong interpersonal skills.
  • Experience answering calls is a must.
  • Good Attention to detail.
  • The ability to multitask.
