The Administrative Assistant to the Office of the COO, Board Governance and Mutual Fund Board Support at Morgan Stanley plays a crucial role in providing comprehensive administrative support to three mutual fund board groups. The assistant will also engage in project management and data coordination, contributing to the overall efficiency of the office.

Responsibilities

  • Act as a hybrid administrative assistant and operations support to three board groups and their leaders.
  • Coordinate scheduling and maintain calendars for board meetings, including communication with internal and external participants.
  • Manage expense reports and budget approvals for board meeting catering costs.
  • Support the transportation needs of Trustees for board meetings, including hotel reservations and car services.
  • Organize and control data for mutual fund complexes, ensuring quality control and central repository management.
  • Facilitate Fund Board meetings in Washington DC and Boston in collaboration with legal teams.

Requirements

  • 3-5 years of relevant administrative support experience, preferably in the investment management industry.
  • Strong written and oral communication skills for interaction with senior management and independent Trustees.
  • Proficiency in Microsoft Word, Excel, and PowerPoint.
  • Bachelor's degree, preferably with an emphasis in Finance, Economics, or related fields.
  • Time management skills and ability to work independently with attention to detail.

Nice-to-haves

  • Familiarity with Corporate Services Travel Online (CSTO) and Concur.
  • Experience at a financial institution and familiarity with financial markets.
