About the position

This position is primarily responsible for supporting the administrative needs of the Agency which includes answering phones and transferring calls to the appropriate person, as well as providing customer service to walk-in customers. The incumbent keeps track of the coming and goings of office personnel assisting anyone with a project for their customers. The incumbent ensures that the office runs at full potential for all working there along with handling many tasks.

Responsibilities

  • Greets clients, guests and employees from other offices including all departments of FNB.
  • Schedules meetings and manages FNB conference room calendars.
  • Serves as main switchboard operator for all branch offices, receives and distributes mail (including Fed Ex and UPS).
  • Monitors info email box and faxes.
  • Scans mail to inboxes.
  • Completes expenses reports as directed.
  • Accesses policy documents from carrier websites and moves them to CSR inboxes.
  • Maintains and updates Agency intranet.
  • Assists with various projects.
  • Orders supplies for all branch offices along with toner for all copiers and handles maintenance calls when needed.
  • Manages Petty Cash.
  • Performs other related duties and projects as assigned.

Requirements

  • BA or BS
  • Minimum of 3 years of job-related experience
  • Excellent project management skills
  • Excellent communication skills, both written and verbal
  • Excellent organizational, analytical and interpersonal skills
  • Excellent customer service skills
  • Ability to use a personal computer and job-related software
  • MS Word - Basic Level
  • MS Excel - Intermediate Level
  • MS PowerPoint - Basic Level
