About the position

The Administrative Assistant II at Fortitude Counseling Associates plays a crucial role in maintaining office efficiency and supporting clinical programs. This position involves a variety of administrative tasks, ensuring smooth communication with stakeholders, and maintaining the confidentiality of client information.

Responsibilities

  • Answer phones, take messages, and manage voicemail systems.
  • Return calls promptly and assist with scheduling appointments.
  • Greet guests and direct them to appropriate personnel.
  • Ensure cleanliness and organization of the office environment.
  • Maintain organization of daily work and patient charts.
  • Manage electronic and physical client files, ensuring accuracy and confidentiality.
  • Assist with preparation and organization of client documentation.
  • Collaborate with insurance companies, providers, and patients to ensure accurate billing.
  • Process billing and payment inquiries promptly and accurately.
  • Ensure compliance with organizational policies and industry standards.
  • Receive and process referrals from healthcare providers or intake coordinators.
  • Verify insurance information and eligibility for services.
  • Schedule appointments for new and existing clients, coordinating with clinical staff as needed.
  • Prepare and distribute necessary paperwork to new clients.
  • Monitor completion of intake forms and follow up to obtain required information.
  • Input client data accurately into electronic health records (EHR) or practice management software.

Requirements

  • Minimum of two (2) years of related office experience.
  • High school diploma or equivalent; associate degree preferred.
  • Strong interpersonal and customer service skills.
  • Ability to problem solve, multi-task, and exercise good judgment.
  • Ability to maintain a high level of confidentiality.
  • Familiarity with medical or mental health terminology is a plus.
  • Excellent communication skills and ability to interact professionally with clients and colleagues.
  • Strong organizational skills with the ability to manage tasks efficiently.
  • Proficiency in MS Office Suite (Word, Excel, Outlook) and experience with electronic health records (EHR) or similar software.

  • 24 hours of training in Supervised Visitation Programs.
  • 12 hours of training in Parenting Program.
  • 3 hours of training in Darkness to Light.
  • 12 hours Behavioral Health Office Administration Training.
  • 3 hours HIPAA and confidentiality Training.
